Data flow

What gets transferred?

Data in Wolvox flows to the portal, and orders and payments made in the portal flow back to Akınsoft, so nothing is entered twice.

From Wolvox to the portal

  • Products, prices and stock per warehouse
  • Customer accounts: credit limit, payment terms, sales rep
  • Account statements, invoices and order status
  • Back orders and previous purchases

From the portal to Wolvox

  • Orders, with up to three discount levels per line
  • A separate order per warehouse, and a separate back order if you like
  • The order note, in Wolvox’s description field
  • Card payments, as account transactions

Queries and document templates are set up to match your Wolvox configuration.

Live lookups

Checked in Wolvox at order time

Credit checks use Wolvox’s current records, not a copy in the portal.

  • The remaining credit limit is checked in Wolvox at order time and can also count orders that haven’t been sent yet
  • Overdue debt is checked against the day and amount limits you set; the order is stopped or sent for approval
  • Dealers see their statements, invoices and back orders exactly as they are in Wolvox
  • Order status and previous purchases also come live from Wolvox

  • Orders are written to the Wolvox database in a single transaction, or through Akınsoft’s web service
  • Line discounts go over at up to three levels, and the order note goes into the description field
  • If something fails, you get an email and a notification, and the order can be resent in one click

Setup

Connected to Akınsoft in four steps

  1. Installation

We install a small integration service on the network where your Wolvox server runs; the portal never connects to your Wolvox database directly.

  2. Mapping

Warehouses, prices, discount fields and document series are mapped to their counterparts in Wolvox.

  3. Scheduling

You choose how often each type of data syncs: every few seconds, at set times of day or on demand.

  4. Testing

Test orders and payments are checked in Wolvox, then your dealers start using the portal.

And more

What we take care of in the Akınsoft integration

  • Firebird or SQL Server

The service connects to whichever database your Wolvox 8 runs on: Firebird or SQL Server.

  • Two ways to write

Orders can be written to the Wolvox database in a single transaction, or through Akınsoft’s web service.

  • New year

Queries use labels instead of table names, so a new year only means updating the year definition.

  • Runs on your network

The portal never connects to your Wolvox database directly; everything goes through the service installed on your network.

  • Multiple connections

You can define several ERP connections, and each transfer runs over its own.

  • Logs and alerts

Every transfer’s start, finish and errors are logged, and the right people get an email and a notification if something fails.

FAQ

About the Akınsoft integration

Have another question? Call us: +90 216 277 70 80

Which version of Akınsoft does it work with?

With Akınsoft Wolvox 8; we work with both its Firebird and its SQL Server databases.

How do you connect to Wolvox?

Through an integration service installed on the network where your Wolvox server runs. Data is read from the Wolvox database with queries, and orders are written to the database in a single transaction or through Akınsoft’s web service.

How often are stock and prices updated?

You decide: every few seconds, at set times of day or on demand. Information such as credit limits, statements and order status is looked up live in Wolvox whenever a screen opens.

Can an order be split across warehouses?

Yes. The order is split into separate orders by the warehouses the items ship from, and out-of-stock items can go into a separate back order.

How do discounts reach Wolvox?

Each line’s discounts go over at up to three levels, and the order note goes into Wolvox’s description field.

What happens if a transfer fails?

The order is marked as a failed transfer, and the right people get an email and a notification. Once the issue is fixed, the order can be resent in one click.

What happens when a new year starts?

Queries don’t need rewriting; the new year’s database name is updated in the year definition.

Can you connect to a different ERP too?

Yes. Our infrastructure doesn’t depend on the ERP: as long as your ERP allows access to its database or services, we can quickly connect to one that isn’t on our list too.
