Data flow

What gets transferred?

Data in SAP flows to the portal, and orders and payments made in the portal flow back to SAP, so nothing is entered twice.

From SAP to the portal

  • Products, prices and stock per warehouse
  • Customer accounts: credit limit, payment terms, sales rep
  • Account statements, invoices and order status
  • Back orders and previous purchases

From the portal to SAP

  • Orders, with their discounts, warehouse and delivery details
  • Card payments, each installment with its own due date
  • A separate order per warehouse and a separate back order, if you like
  • The document number from SAP is saved back on the order

Queries and document templates are set up to match your SAP configuration.

Live lookups

Checked in SAP at order time

Credit checks use SAP’s current records, not a copy in the portal.

  • The remaining credit limit is checked in SAP at order time and can also count orders that haven’t reached SAP yet
  • Overdue debt is checked against the day and amount limits you set; the order is stopped or sent for approval
  • Dealers see their statements, invoices and back orders exactly as they are in SAP
  • Order status and previous purchases also come live from SAP

Order transfer

Orders reach SAP on your terms

During the day, approved orders reach SAP within about a minute, and orders that meet your rules join the queue without waiting for approval.

  • Orders can be split by warehouse, and out-of-stock items go into a separate back order
  • Discounts, the order note and delivery details go over with the order
  • The document number from SAP is saved back on the order
  • If something fails, you get an email and a notification, and the order can be resent in one click

Setup

Connected to SAP in four steps

  1. Connection

We connect to your SAP system the way we agree on during setup: with database queries or through SAP’s services.

  2. Mapping

Warehouses, price lists, discount types and document series are mapped to their counterparts in SAP.

  3. Scheduling

You choose how often each type of data syncs: every few seconds, at set times of day or on demand.

  4. Testing

Test orders and payments are checked in SAP, then your dealers start using the portal.

And more

What we take care of in the SAP integration

  • Controlled access

The portal never connects to your SAP system directly; everything goes through the integration service.

  • New year

Queries use labels instead of table names, so a new year only means updating the year definition.

  • Installment payments

Card payments go to SAP installment by installment, each with its own due date.

  • Foreign-currency orders

Foreign-currency orders go over together with their exchange rate.

  • Multiple connections

You can define several ERP connections, and each transfer runs over its own.

  • Logs and alerts

Every transfer’s start, finish and errors are logged, and the right people get an email and a notification if something fails.

Products

All three products work with SAP

FAQ

About the SAP integration

Have another question? Call us: +90 216 277 70 80

How do you connect to SAP?

We decide during setup, based on your SAP configuration: through an integration service on your network, with database queries or through the services SAP exposes. The portal never connects to your SAP system directly.

How often are stock and prices updated?

You decide: every few seconds, at set times of day or on demand. Information such as credit limits, statements and order status is looked up live in SAP whenever a screen opens.

How do discounts reach SAP?

Line discounts and order-level discounts go into SAP’s discount fields, as mapped during setup.

Can an order be split across warehouses?

Yes. Each warehouse can get its own SAP order, and out-of-stock items go into a separate back order. If you prefer, the order goes over as a single document.

How are card payments recorded?

A card payment made in the portal goes to SAP installment by installment, each on its own line with its own due date.

What happens if a transfer fails?

The order is marked as a failed transfer, and the right people get an email and a notification. The error is logged together with SAP’s response, and once the issue is fixed the order can be resent in one click.

What happens when a new year starts?

Queries don’t need rewriting; the year definition is updated in one place.

Can you connect to a different ERP too?

Yes. Our infrastructure doesn’t depend on the ERP: as long as your ERP allows access to its database or services, we can quickly connect to one that isn’t on our list too.
